Summary

A&F Sprinklers Ltd is seeking an enthusiastic Apprentice Service Administrator to support its Service & Repairs department. You will gain experience in service administration, customer communication, compliance documentation, job processing and engineering coordination while completing a Level 3 Business Administration Apprenticeship.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

This is an exciting opportunity to join A&F Sprinklers Ltd as an Apprentice Service Administrator within the Service & Repairs department.

You will support the day-to-day administration of service, reactive and remedial works. Working alongside experienced colleagues, you will learn how service jobs are processed, how engineers are supported, how client records are maintained and how compliance documentation is managed within a fire protection business.

The role will provide broad exposure to business administration, customer service, engineering coordination and compliance processes.

Key Responsibilities

  • Supporting the Service Team with general administrative duties, including filing, emails and telephone handling
  • Assisting with the processing of service, reactive and remedial jobs within company systems
  • Helping to maintain accurate records, documentation and electronic filing structures
  • Supporting the upload of service paperwork, reports and certificates to client portals
  • Assisting with the monitoring of service schedules and planned preventative maintenance activities
  • Helping to track outstanding jobs and escalating issues to the appropriate colleague where required
  • Supporting communication with field engineers, customers and internal departments
  • Assisting with the preparation of reports and maintaining service data for compliance and invoicing purposes
  • Learning how to complete quality checks on service documentation to ensure company standards are met
  • Updating internal systems accurately and maintaining clear job records
  • Monitoring emails and responding to routine customer and engineer queries professionally
  • Supporting the wider Service & Repairs department with administrative tasks as required
  • Identifying opportunities to improve administrative processes and service workflows
  • Following company procedures, confidentiality requirements and health and safety policies at all times

As your confidence and skills develop, you will take on increasing responsibility for service administration tasks and will have opportunities to progress within the Service Department or wider business.

Business Administrator – Level 3

Your training plan

You will complete the Level 3 Business Administrator Apprenticeship.

Training will include:

  • Business administration processes, procedures and continuous improvement
  • Professional customer service and communication
  • Managing emails, documents and electronic filing systems
  • Data entry, record keeping and quality checking
  • Using Microsoft Office applications, including Word, Excel and Outlook
  • Supporting service scheduling, job administration and operational coordination
  • Understanding compliance documentation, service records and client requirements
  • Producing reports and maintaining accurate business information
  • Time management, organisation and prioritisation
  • Teamwork, problem-solving and professional workplace behaviours
  • Supporting projects and improving administrative processes
  • Functional Skills in Maths and English, if required
  • End Point Assessment

You will receive regular support from your apprenticeship training provider and experienced members of the A&F Sprinklers Service & Repairs team.

Requirements

Essential qualifications

  • GCSEs, or equivalent, in Maths and English are essential
  • Comfortable using computers and Microsoft Office applications
  • Previous office, customer service or administration experience is desirable but not essential
  • A genuine interest in business administration, service coordination and professional development

A&F Sprinklers Ltd is an established fire protection business with more than 30 years of experience delivering specialist sprinkler and fire safety solutions. The company supports clients through the design, installation, servicing, repair and maintenance of fire protection systems.
